The general ledger report, found under Reports > General Ledger, is one of the most useful reports in Brightpearl. It displays all accounting journals with several key details and can be filtered extensively.
Customizing the general ledger report
Columns
By default, the columns available on the general ledger are:
Field | Description |
---|---|
ID | The journal ID of the entry. Clicking the ID will take you into the journal. |
Tax date | The date the journal will affect the accounts. A tax date is set when a journal is created, and can be edited after journal creation. |
Tax code | The tax code of the particular journal row. |
Type | The journal type, denoting why the journal was created. |
Account | The account (nominal) code the journal row is posting to. |
Contact | The contact associated with the journal (if any). |
Details | The journal details, if entered. |
Order ID | The order the journal row is associated with (if applicable). Clicking the order ID will take you into the order. |
Invoice ref | The invoice reference related to the journal row (if applicable). |
Currency | The currency of the journal. |
Debit | The debit value of the journal, in the journal's currency. |
Credit | The credit value of the journal, in the journal's currency. |
Base debit | The debit value of the journal, in base currency. |
Base credit | The credit value of the journal, in base currency. |
Rate | The journal's exchange rate. |
Note: The base debit, base credit and rate columns only appear if multi-currency is being used.
Filters
The general ledger has a set of accounting filters, and a set of order filters.
Accounting filters
Field | Description |

Nominal code (account) | Choose an account code to filter on. Only one account code can be selected. |
Date |
Choose what kind of date to filter on, from:
Select the date range 'from' and 'to'. |
Invoice ref | Search for a particular invoice reference. This filter looks specifically at the 'Invoice ref' field. |
Order ID | Search for a particular order ID. This filter looks specifically at the 'Order ID' field. |
Search | Enter a search term. This field searches the amount, invoice ref, order ID and details fields. |
Channel |
Select at least one channel. This filter will bring up all journal rows with the channel assigned. |
Project |
Select a single project to filter on. This filter will bring up all journal rows with the project assigned. |
Lead source |
Select a single lead source to filter on. This filter will bring up all journal rows with the lead source assigned. |
Currency | Filter for journals of a particular currency. |
Reconciled (bank) |
Filter for journal rows which are bank reconciled. |
Reconciled (VAT) |
Filter for journals which are VAT reconciled. Select from all reconciled entries or those reconciled to a particular period. |
Type |
Select at least one journal type. |
Tax regime |
Filter for journal rows whose tax codes fall into a certain tax regime. |
Tax class |
Filter for journal rows assigned a specific tax code. |
Cleared | Filter for journal rows which are cleared or uncleared. |
Contact | Filter for journals assigned to a certain contact. This filter can only be activated by clicking on a contact name in the report itself. |
Order filters

Channel |
Select at least one channel. This filter will bring up all journals linked to an order with the channel assigned. |
Project |
Select a single project to filter on. This filter will bring up all journals linked to an order with the project assigned.

Select a single lead source to filter on. This filter will bring up all journals linked to an order with the lead source assigned. |
Filter first
The general ledger can be set to automatically load the most recent journal entries by default, or it can be loaded with no results to allow custom filtering to be applied first. Choose to show filters before results at Settings > Company > Other options.
Tip: To export a large accounting report, set the filters and click on Export instead of Filter. This will send the report directly to a spreadsheet file without having to wait for the results to load on screen first!
Searching by journal ID
The search and filters won't currently search by journal ID.
If you know the journal ID you need to view you can go via Accounting > Correction, enter the journal ID to view or edit the journal:
