Not all warehouse transfers will require you to actually ship goods, or to involve a courier. Perhaps you use virtual warehouses to limit inventory availability, have several warehouses that are located nearby one another, or are moving inventory into a mobile location (for example a salesperson’s personal stock or loading a vehicle to take to an exhibition or trade show).
In these cases, using the ‘Quick Transfers’ function in WMS will allow you to bypass the external elements of the transfer process, so you can move straight from configuring the transfer to putting the transfer away at the destination.
The quick transfer process
When using quick transfers, it will appear as though the inventory has been moved straight from its picking location to the receipt location at the destination warehouse. You’ll be left with a delivery that has been received but not yet put away, which you can either process, hide, delete or ignore as you prefer.
Behind the scenes, WMS actually takes a few additional steps to complete the process. The system will:
- Create the transfers goods out note(s)
- Mark the transfers goods out note(s) as shipped
- Create a new delivery at the destination warehouse
- Associate the delivery to the transfer
- Mark the delivery as received
WMS performs these additional steps to make sure that your inventory batch history and cost process are preserved.
Be aware that because transfers don’t synchronise between WMS and Brightpearl before the goods out notes are created, it’s not possible to allocate inventory to a transfer before you fulfil it using the quick transfer process.
How to process a quick transfer
When fulfilling transfers from the Edit Transfer screen in Brightpearl WMS, it’s possible to select the ‘Quick Transfers’ checkbox in the Fulfil Transfers modal.
Whereas it’s mandatory to select a shipping method when you process a normal transfer, it’s not necessary to do so with a quick transfer. If ‘Quick Transfer’ is selected you can you can go ahead and click the Fulfil / Fulfil All buttons without selecting a shipping method.
Once you do, you’ll see a dialogue explaining the process and asking whether you’re happy to go ahead. Click OK to continue and begin processing the quick transfers. A new tab will appear to show all the steps required to complete each transfer, and WMS’ progress against them.
Where there are multiple quick transfers, WMS will process a single transfer at a time from beginning to end before moving to the next one. The tab will alert you know once the process is complete.
How to rectify failed quick transfers
It’s possible that an unforeseen error might occur whilst WMS is processing the transfer. If this happens, you’ll be able to see how much of the process WMS was able to complete without issue; this section explains how to complete the remainder of the process manually.
Be aware that because WMS processes a single transfer at a time from beginning to end before moving to the next one, you only need to complete the process for the transfer that was in progress at the time of the error. You can then restart the process for the remaining transfers.
Error whilst creating the transfer
WMS was unable to create the transfer in Brightpearl.
No progress has been made. It’s best to wait a few minutes for the cause of the error to clear and to retry the process. If the error still appears, please contact our support department.
Error whilst fulfilling the transfer
WMS has created the transfer in Brightpearl, but was not able to create the goods out note.
Because transfers don’t synchronise between WMS and Brightpearl before the goods out notes are created, the list of products to transfer has not yet been posted to Brightpearl. It’s best to retry the fulfilment process after waiting for a few minutes for the cause of the error to clear. If the error still appears, please contact our support department.
Error whilst shipping the transfer
WMS has created the transfer and the associated goods out note in Brightpearl , but was not able to mark the goods out note as Shipped.
Because the goods out note has been created, the inventory is now allocated to the transfer, so there is no risk of it being allocated to another sale in the interim.
To ship the transfer, find the goods out note in the Goods Out > Notes list, select it, and click the ship button.
Once shipped, you’ll need to create the delivery and receive the inventory – see the following steps for more information.
Error whilst creating the delivery
The transfer has been created, fulfilled and shipped. WMS was not able to create the delivery.
- Go to the deliveries list and click the Create New button at the top right of the screen.
- In the modal, enter a reference if you wish, and select the destination warehouse.
- Click associate to open the association modal.
- Set the order order type to Warehouse Transfer
- Enter any additional filter criteria if you wish, and click search.
- Select your transfer from the list and click save
Error whilst receiving the delivery
The transfer has been created, fulfilled and shipped. WMS has created the delivery, but was not able to receive the inventory.
- Find the delivery in your list of deliveries
- Select the delivery and click Receive
- Click Receive all at the top right of the screen.
Note that you can also use the Receive and Put Away screen instead here if wish, to address the subsequent process steps at this time.
Completing the processes using Brightpearl.
Transfers synchronise between the two systems at the point they are fulfilled. If your quick transfer has errored at any point after fulfilling the transfer (ie, if ‘Creating the transfer’ and ‘Fulfilling the transfer’ were completed successfully), you may choose to complete the process from Brightpearl.
