Sales detail report

The sales detail report is a sales report that breaks sales down line-by-line. It is found under Reports > Sales detail.

Every row on the sales detail report corresponds to a row on a sales order.

The sales detail report has a number of filters which can be used to limit the selection of sales which appear in the report.

If a report has to be run frequently, the filters can be salved as a preset, for ease of access. A preset can be selected from a drop-down list on the report, and can also be set as the default preset for that user.

To save a preset, first click Show filter, then apply the filters required for your report.

Then click 'Save as new preset' at the bottom of the filter:

You will be prompted to give the preset a name:

Once it's been named, click 'Filter and save as new preset'.

You will then have the option to select the preset at the top of the page:

Configurable columns on the sales detail report

The sales detail report can be customized using configurable columns.

To use configurable columns on the sales detail report, click Show filter, then click Configure columns at the bottom of the filter:

A modal window will appear, listing the columns set to appear in the report along with any additional columns available:

Use the + and - icons next to the columns to add or remove them from the report.

Check the 'Set as default' box to set which columns to automatically display whenever the page is first loaded. (Note this setting is specific to each user.)

Using the sales detail report to report on profitability

Because the sales detail report lists each order row separately and also provides cost data, it can be a powerful tool for collecting information on product profitability.

However it is important to know what information drives the cost data since the sales detail report provides both an estimated and actual profit made on sales.

  • Estimated profit

    Before items are shipped the profit is calculated using an estimated cost of sales value. Brightpearl uses the FIFO costing method so the actual cost won't be known until the item is shipped. The estimated cost is taken from the cost price list assigned to the order.

  • Actual profit

    Once items have been shipped the actual cost using FIFO is known. This value will be used to calculate the profit value seen on the sales detail report (and the order cost tab).

Tip: To view only actual profit, filter the report by invoiced and shipped items.
