Implementation of eBay

We recommend that you read our prerequisites and guide available  here  before attempting an implementation.

Install the eBay app

To begin connecting Brightpearl and eBay you will need to install the app. Once installed you will be able to start adding eBay accounts.

How to install the eBay app

  1. In Brightpearl, go to App Store > eBay .
  2. Click Turn on , you can’t miss it!

The eBay setup and management screens will now be accessible in Settings > Brightpearl Apps > eBay . Installing eBay takes you straight to the first setup screen, and next step, adding eBay accounts.

Connect an eBay account

Each eBay account must be separately added in Brightpearl.

Each account added creates a new sales channel in Brightpearl which is used to identify where your orders are coming from.

Which eBay sites can be connected to Brightpearl? Which countries are supported?

This is a list of all the eBay sites you can connect to Brightpearl in order to synchronize inventory, prices and orders:

How to connect an eBay account

  1. In Brightpearl, go to Settings > Brightpearl Apps > eBay .
  2. Click the Connect eBay account button.

  1. Enter an account name - this is the channel name and how you will see it throughout Brightpearl.
  2. Select your eBay site country.
  3. Select whether you want eBay listings to be automatically connected where a product with a matching SKU is found. This will work the first time a listing is downloaded.
  4. Go on to choose your inventory, price and order settings:

Inventory

  • Enable inventory sync
    Check the box to use inventory syncing for this site. When activated inventory updates are sent to eBay when a listing is first created or connected to a product and then only when the onhand inventory level changes. Activating this later will not trigger any updates.
  • Track stock of bundles
    Check the box to send inventory updates where a Brightpearl bundle is connected to an eBay listing. This will be a theoretical availability based on the onhand quantities of the items included in the bundle.
  • Warehouse to calculate on hand inventory levels
    Select one or more warehouses. The combined onhand inventory from these warehouses will be uploaded to eBay.
  • Warehouse to allocate orders from
    Each order in Brightpearl can only reference a single warehouse, although you may be synchronizing multiple. Select the main warehouse from which inventory should be automatically allocated to orders. Shipments from other warehouses can be created at fulfillment.

Prices

  • Price list
    Select the price list to synchronize with this eBay site. The selected price list needs to be set up with the same currency as the default eBay site selected earlier. It should also be set as a gross price list; synchronizing a net price list will add tax before updating eBay, using the product tax code.
  • Charge tax on shipping
    Check this box to calculate tax on shipping charges where the products are taxable.
  • Enable Price sync
    Uncheck this box if you do not wish Brightpearl to update eBay listing prices. This this can be activated later. Activating pricing sync later will not perform a full price sync. Prices will only update when they are updated in Brightpearl.

Orders

  • Start orders downloading from
    Select the date at which orders should begin downloading. This can only be today or in the future. This is often used during implementation to ensure the account is fully set up before orders begin downloading. Brightpearl will check for new eBay orders over the previous 7 days, but limited to this activation date. If this date is changed in the future then orders placed on or after the new date will download. Saving any other changes in the eBay settings will not affect order downloads.
  • Status for new eBay orders
    Select which sales order status should be assigned to new eBay orders.
  • Channel branding
    Select the channel brand to use for orders received via this channel.
  • Bank account for allocating payments
    Select the bank account where payments should be posted.
  • Assign new orders to team (available only where teams exist)
    If you are using staff teams, select to which team orders received via this channel should be assigned.
  1. The final stage is to authorize eBay and Brightpearl to speak to each other. Unless you are testing Brightpearl using eBay sandbox you should leave the box unchecked.
  2. Click the Authorize with eBay button and then log into your eBay seller account. You will be directed to the eBay site based on the country selection made earlier.

  1. Click the I agree button to accept the terms and conditions. You will now directed back to your Brightpearl account to see the eBay account integration is activated.

Update existing eBay listings with SKUs

The integration works by connecting each eBay listing to the product record in Brightpearl. Once this connection is established Brightpearl will manage the availability and price on eBay.

The easiest way of establishing a connection between your products is by automatically matching SKUs. This means every eBay listing will need a unique SKU and the same SKU will need to be used on the product in Brightpearl. Where your eBay listings do not have SKUs, or they are different from the ones used in Brightpearl, you can update your listings with the methods described below.

You can skip this section if:

  • You wish to manually search for and connect the correct product
  • Product records don't yet exist in Brightpearl and need to be created (this can be done using listing details)
  • You have no listings

How to add / update eBay SKUs using Turbo Lister

Using Turbo Lister your SKU is entered into the "Custom Label" field. You can edit your listing from the list view or from the "edit item" window.

Editing in list view:

  1. Ensure the "Custom label" column is displayed. If it is not, then right-click anywhere on the column headings and select Customize columns . Select "Custom Label" and click OK .
  2. Click Edit Mode .
  3. Enter your SKUs into the custom label column.
  4. Upload your amended listings to eBay.

In the "edit item" window:

  1. Open the "edit item" window for the listing.
  2. Go to the inventory information section.
  3. Look for the "custom label" field, if it is not displayed click Customise and select Inventory Information . Select Display Custom Label and click OK .
  4. Enter your SKU into the custom label field.
  5. Click Save .

How to add or update eBay SKUs using Selling Manager / Selling Manager Pro

To subscribe to Selling Manager / Selling Manager Pro access your account area of your eBay account and go to Subscriptions .

  1. Within your eBay account hover over the Activity tab and select Selling Manager .
  2. Click to view all your eBay listings.
  3. Click the Customize link to the top-right of the list of items.
  4. The Customize active listings window is displayed, check the Custom label box and then click Apply .
  5. An additional column is now displayed for your listings where you can edit listing SKUs one-by-one. Edit each product and save. Make sure you use the same SKUs as you are in Brightpearl.

Connect existing eBay listings to Brightpearl products

Once an eBay account has been added and authorized in your Brightpearl account you will begin to see any active listings displayed at Channels > eBay > Listings. This will include all listings made using that eBay account - domestic and international, auction of fixed price.

Listings will need to be connected to a product in Brightpearl. Once a connection is established Brightpearl is able to manage the price, quantity available, SKU and listing details in the same way as if the listing had been published from Brightpearl.

During the implementation of eBay with Brightpearl you may choose to deactivate synchronization of prices and inventory until the set up and connections are completed and you're ready to start using it. It is worth noting however, that changing the synchronization settings later on will not automatically and immediately update eBay, so eBay could potentially still be displaying items, which in Brightpearl, are out of stock.

Prices and inventory (when active) are automatically sent to eBay when the listing is first connected to a product and then only when inventory levels / price change. So if the synchronization of prices and/or inventory is activated after the listing and product are connected the updates will happen naturally as subsequent changes happen in Brightpearl, or they can be manually triggered. Auction listings

Auction listings are not fully supported. So we recommend that auction listings are not used with Brightpearl.

Variants

Where a listing comes with different variants (such as size or color) the option values will be automatically assigned to the product record. Where the option values don't exist in Brightpearl they will be created as part of the product creation so that they can be assigned. Each variant will be created with the same name, this will ensure they are placed into a product group with option values.

eBay Variants

Bundles

An eBay listing can be connected to a Brightpearl bundle. A bundle will need to be created directly in Brightpearl prior to connection.

Although a bundle is non-stock tracked in Brightpearl a theoretical quantity can be uploaded from Brightpearl. Activate bundle quantities on the eBay account setup in Brightpearl.

International listings

Products created from internationally listed items (actively listed) will be created as normal but must be assigned a sell price list in the same currency as the listing. If no price list of the same currency exists in Brightpearl the product cannot be created.

You will also need to enter the cost price for the item, but in your base currency. This figure will be used to create a journal (in your base currency) to account for any inventory added into stock. This price will be stored onto the "COST" price list (this is the list which came with your account and has an ID of 1).

In this example the listing is in GBP but the Brightpearl account is in USD:

Listings not connected to a product

Where eBay listings are not connected products Brightpearl will not be able to manage availability, prices, SKUs, listing details or use the relisting feature. However, any orders for the item will download into Brightpearl.

When an order is received for an item where the listing is not connected to a product a free text non-stock tracked line item is added using the name and price received from eBay. This means that no inventory is allocated and there are no items to ship - it is not possible to create a goods-out note for non-stock tracked items.

If this occurs by mistake, it is possible to edit the order to remove the free text line item and then add the product - ensure the downloaded price is entered for the product at this point. This will allow the order to be processed through shipping in Brightpearl and will update the order on eBay when it is.

Make sure the product is connected for next time.

How to connect eBay listings to Brightpearl products (auto)

If the product has already been created in Brightpearl it can simply be connected to an eBay listing. This can be done in two ways:

  • Auto-connect by SKU
  • Manual search and connect

Auto-connect by SKU

As long as both your eBay listing and Brightpearl product have the same SKU, and that is unique across your product range, you can automatically connect them. If activated on the eBay account setup in Brightpearl they will automatically connect SKU-to-SKU on the first download of the listings. If auto-connect on download is not activated, or SKUs have been corrected since the initial download, the auto-connect by SKU can be rerun manually:

  1. Go to  Channels > eBay > Listings .
  2. Select the listings to be connected.
  3. Click the  Connect by SKU  button.

International listings

Items actively listed internationally cannot be connected SKU-to-SKU. Each one will have to be connected manually as a price list of the relevant currency must be selected for each. 

For international variation listings, they can be connected quickly by following these steps:

  1. Go to Channels > eBay > Listings
  2. Find the variants you wish to connect
  3. Expand the variation listing
  4. Select one variant > Click Connect by SKU
  5. Now select the whole listing > Click Connect by SKU

You will now find that all of the variants in that listing will auto-connect by SKU. This will need to be repeated for all international variation listings.

How to connect eBay listings to Brightpearl products (manual)

If the product has already been created in Brightpearl it can simply be connected to an eBay listing. This can be done in two ways:

  • Manual search & connect
  • Auto-connect by SKU

Manual search & connect

Connect one-by-one by manually searching and linking the relevant product record in Brightpearl. This can be used where:

SKUs do not match/exist
Connecting a Brightpearl product with a SKU will update eBay with that SKU overriding any existing SKU on eBay. If the Brightpearl product has no SKU at all it must be entered during the connection process, if one exists on eBay this can be saved on the product.
Listings are from a foreign currency eBay site
Where items have been actively listed on an eBay site other than the one the account is registered with (e.g. a UK seller account where listings have been created on eBay.com) a price list of that currency must be selected for synchronizing with the listing. This must be done per listing.
  1. Go to Channels > eBay > Listings .
  2. Click the connect link below a listing to be connected.

  3. Search for the relevant product to connect. Note that the product will need to be connected to a price list of the same currency as the listing. A product will be listed multiple times where it has a price on more than one price list so it can be helpful to use the price list filter. Ensure that the product displaying the correct price list is linked to the listing.

International listings

The product must have a price on a price list which is set with the same currency as the eBay listing. If no relevant price has been set the product will not be displayed and cannot be connected. Where more than one price is set on multiple price lists of the matching currency the product will be listed multiple times. Link the product displayed with the appropriate price list, alternatively use the filters to search only a single price list.

How to create Brightpearl products from eBay listings

If no product exists in Brightpearl it can be created using the listing. This can be done one-by-one or in batches for variants and international listings, but not bundles:

  1. Go to Channels > eBay > Listings .
  2. Select one or more listings to create products for - or click the Create link directly below the relevant listing.
  3. Click the Create products button.

  4. Complete the product details in the pop-up window:

     

    Product name
    Enter the product name as you wish it to display in Brightpearl. This will default to the listing name.
    Model/SKU
    This will display the eBay listing SKU if defined. If no SKU exists on eBay one must be entered. If a new SKU is entered the eBay listing will be updated to match Brightpearl.
    Category
    Select the Brightpearl category the product should be assigned to.
    Brand
    Select the Brightpearl brand.
    Product type
    Select the Brightpearl product type.
    Taxable product (US)/Tax code (UK)
    Specify whether the product should be set as taxable in Brightpearl / assign the relevant tax code (UK).
    Price list
    Select the sell price list to use for updating this listing. It must be of the same currency as the listing
    Cost price
    Enter the cost price of the product. This is important where new inventory is being added (field below) as it will be used to value the stock and create accounting.
    Quantity in stock
    This will default to the current availability displayed on eBay. This figure will be used to add inventory into stock in Brightpearl. This will create an inventory accounting journal using the cost price entered above.

    Where more than listing was selected (batch create) use the Create product button to work through each item one after the other. If the process is canceled half way through creating a batch of products, those that have already been created will be saved and connected.

There's no need to connect the products afterwards, the connection is made at the same time.

Variants

Where the option values don't exist in Brightpearl they will be created as part of the product creation so that they can be assigned. Each variant will be created with the same name, this will ensure they are placed into a product group with option values.
