Timeline

The contact timeline keeps a chronological history of activity related to the customer or supplier. Every individual contact has their own timeline which will show activity related specifically to them. Where contact relationships exist a company level view will show activity from all the individuals in the company. This can be found by opening any one of the individuals records and then clicking on the company name at the top of the screen.

There are 7 different types of update:

  • Activities
  • Tickets
  • Emails
  • Orders
  • Accounts
  • Statuses
  • Notes & Calls

Under each type of update here's what will or won't create an entry on the timeline:

Activities

   
Action Timeline update? Details
Create new activity No New activities can be seen in the Activities information box.
Mark activity as complete Yes Completion date and time.
Add note to scheduled activity Yes Note entry is displayed.

Tickets

   
Action Timeline update? Details
Ticket status updates                           Yes Updates timeline even when customer is not notified
Ticket subject edited Yes Updates all existing entries on the timeline with the new subject
Replies to tickets Yes All replies are added to the timeline, even when no notifications are sent

Emails

   
Action Timeline update? Details
Send email from recent sales list Yes Records who sent the email and when. The entry can be expanded to view the email content.
Send email/statement from debtors report using email button                                 Yes Records who sent the email or statement and when. An email can be expanded to see the content, a statement will display in full.
Email statement using icon on debtors report Yes Records who sent the statement and when. The statement can be seen as a PDF attachment.
Email statement from within customer record Yes Records who sent the statement and when. The statement can be seen as a PDF attachment.
Manual emailing of quote/order/invoice Yes Records who sent the document and when. The document can be seen as a PDF attachment. See also order updates.

Orders

   
Action Timeline update? Details
Create new order Yes Staff member, date and time, order ID, order status and total amount.
Order/credit status change Yes Staff member, date and time, order ID, order status changed to. Existing entries for the order will show current status.
Fulfilment Yes Goods-out note reference provided with date and time.
Note added to order/credit  Yes Order ID and note details displayed.
Edit items on order Yes Original order post will display new total value.
Invoice/credit order Yes Time and date of invoicing and whether it was automatically emailed or not. See also accounts updates.
Manual email of invoice/credit Yes Date and time of sending with the invoice as a PDF attachment.
Create new credit Yes If cloned from a sales order details of the original sale and the new credit will be provided. Another entry will display the credit number and total amount.
Update address details No  

Accounts

   
Action Timeline update? Details
Invoicing/crediting Yes Details of the invoice number and that an accounting journal was created.
Payment received Yes Amount received and posted to accounts, the date, invoice reference and order ID. See also order updates.
Allocating on account entries Yes 1 entry displayed per item cleared on the contact's account.

Status

   
Action Timeline update? Details
Customer status change Yes Each change appears as an entry.

Notes & Calls

Send SMS Yes Details of the message sent.
Add note  Yes Notes added directly to timeline or via debtors report display.
